The Help button (the chat bubble in the bottom-right corner of CoolFocus) is the fastest way to get answers while you work. From it you can search help articles, ask a question, keep track of your conversations with our team, and read product news, without leaving CoolFocus.
Open the Help button
1. Sign in to CoolFocus as yourself.
2. Look for the chat bubble in the bottom-right corner of any page.
3. Click it to open the help panel.
If you do not see the bubble, try a hard refresh, turn off ad blockers for CoolFocus, and confirm you are signed in on your own login. You can also open the full help site anytime at https://help.coolfocus.app/en/ and bookmark it.
What is in the help panel
Help: search and browse help articles, grouped by topic (Getting Started, Care, Inbox, Scheduling, Giving, and more).
Messages: your conversations with CoolFocus support, including earlier ones, so you can pick up where you left off.
News: product updates and improvements worth knowing about.
You can move between these spaces without losing your place in CoolFocus.
Ask a question (Fin first, then our team)
Choose Ask a question to start a conversation. Fin, our AI assistant, answers first using the CoolFocus help articles. Talk to it the same way you would talk to a person on your team.
Type a normal question in plain language.
Add a follow-up if the first answer is close but not quite right.
Ask “what should I click?” or “where is this setting?” the same way you would ask a teammate.
You do not need special wording. Everyday conversation works best.
Give enough detail for a faster answer
The more useful detail you include up front, the more likely you are to get a clear answer quickly—and the less back-and-forth you will need.
Helpful details often include:
What you were trying to do
What you expected to happen
What happened instead (exact wording of an error, if any)
Which screen or menu you were on (for example Settings → Plan & Billing, or Inbox)
Who is affected (one user, one client, the whole center)
Roughly when it started
A screenshot when something looks wrong on screen
Short questions are fine to start. If Fin asks for more information, answering those follow-ups usually speeds things up.
Reaching a person
If Fin cannot answer, or you would rather talk to someone, ask for a person. Fin hands the conversation to our support team, and the reply shows up in Messages.
Say something simple like:
“Can I talk to a human?”
“Please connect me with support.”
“I still need help from your team.”
We are happy when Fin solves something quickly, and just as happy to step in when you need a person. You are not bothering the team by asking.
Tip: If support needs to see exactly what you see, they may send a screen recording link. That is optional and only starts after you open the link they send and allow recording. See Screen Recording Links from CoolFocus Support.
Help articles
Open Help in the panel to browse and search written guides. Use the search box when you know the topic (for example “time sheets,” “appointment reminders,” or “CoolPay”).
You can also open the help site in a full browser tab: https://help.coolfocus.app/en/.
Live demos and staff/volunteer training sessions
CoolFocus does not offer one-on-one live demos at this time. For a walkthrough of the product, search the written guides in Help, or ask a question in the Help button to find the guide for what you are trying to do.
Group training for staff and volunteers is offered as a webinar session rather than a live one-on-one demo. When a webinar training session is scheduled, WayCool sends the date and sign-up details to your organization's administrators, who can then share the invitation with staff and volunteers.
If your organization has not received a training invitation, ask an administrator to check for it (including spam or junk folders), or message us to confirm what is scheduled.
Feature requests
When you want CoolFocus to do something new or differently, not when something is broken today, message us. Choose Ask a question, describe what you are trying to do and why, and ask for it to be passed to the team as a feature request.
Good feature request: “Allow exporting visit notes for a date range so we can prepare board reports.”
Better as a how-to question: “I can’t find where to export visit notes. Can you show me?”
Watch News in the help panel for what has shipped.
