Tags on Contacts, Donors, Clients, and Other Records

Add colored tags to contacts, donors, clients, and other records, and use them to filter lists across your organization.

Written by Jonathan Marbutt

Tags are short, colored labels you attach to a record to mark something a dropdown field does not capture, like "Major gift prospect" or "Needs housing." Every tag you create is shared across your whole organization, so anyone can reuse it.

Where you can use tags

  • Contacts

  • Donors

  • Clients

  • Volunteers

  • Cases

  • Contributions

  • Churches

  • Organizations

Look for the Tags row near the top of a record's detail page.

Tags follow the person, not the page

Contacts, donors, clients, and volunteers are different views of the same person record. A tag you add on the donor view of a person also shows up on that same person's contact, client, and volunteer views, since it is one tag on one person.

A church or organization is a person record too. If a church is also marked as a donor, a tag added on its Church record shows up on its Donor record as well.

Cases and contributions keep their own separate tags, since they are not people.

Add a tag to a record

  1. Open the record and find the Tags row.

  2. Click Add tag.

  3. Pick an existing tag from the list, or type a new name and click Add to create it and apply it in one step.

The picker also shows how many records currently use each tag.

Remove a tag from a record

Click the x on the tag's chip, or open the Add tag picker and click the tag again to un-apply it.

Rename, recolor, or delete a tag

Any tag can be renamed, given a different color, or deleted from the Add tag picker:

  1. Open the Add tag picker on any record.

  2. Click the pencil icon next to a tag to rename it or change its color, then click Save tag.

  3. Click the trash icon next to a tag to delete it.

Renaming or recoloring a tag updates it everywhere it is applied. Deleting a tag removes it from every record that had it and takes it out of the shared tag list for everyone.

Find records by tag

Tags are also a filter field, so you can build a list of everything carrying a tag.

  1. Open a list such as Donors, Clients, or Cases and click Filter.

  2. Choose the Tags field.

  3. Choose Is any of to match records with at least one of the tags you pick, or Is not to exclude records carrying a tag.

See "How do I find...?" with Filters for more on building and saving filters.

Tags vs. pinned notes vs. Inbox tags

A tag sorts and filters a record; it is not built to grab attention. If something urgent needs to jump out the moment anyone opens the client's record, pin a note instead of adding a tag. See Notes for how pinning puts a note at the top of a client's Activity tab.

A tag added inside an Inbox conversation only labels that conversation. It does not appear on the client record, and a tag on the client record does not appear in Inbox.
