Visit types

Use Visit Types to set which charts open by default on a visit, and how they differ from Appointment Types.

A Visit Type is an optional label for a visit that sets which charts open by default, and in what order, when staff start that visit. Visit Types are separate from Appointment Types: an Appointment Type controls scheduling, online booking, and its own linked charts, while a Visit Type only affects the default chart makeup of the visit itself.


Where to find Visit Types

Open Settings > Care Settings > Visit Types.

Each Visit Type has:

  • Name: what staff see when choosing a Visit Type.

  • Active: whether the type can be assigned to new visits. Turning a type inactive does not change visits already using it.

  • Display order: the order Visit Types appear in when staff pick one.


What a Visit Type controls

  • The set of charts that open by default on a visit assigned this type, and the order they appear in.

  • A starting point, not a limit: staff can still add other charts to the visit regardless of its Visit Type.

Visit Types are optional. A visit does not need one.


The core line

Every Visit Type has a core line: the summary text CoolFocus shows for a visit of that type wherever visits are listed, such as the Visit Board and the Visits list. The core line always includes the client's name, so staff scanning a list of visits can tell whose visit it is without opening the record.


Visit Types and Appointment Types

An Appointment Type can select a default Visit Type, so a visit started from that appointment picks up the right starting charts automatically. Choosing a default Visit Type on an Appointment Type does not remove or replace charts already linked directly to that Appointment Type.
