Managing Your Account Security

A tour of Manage account: change your email, password, and phone number, connect Google, Microsoft, or Apple, add a passkey or MFA, and review the devices you're signed in on.

Everything that protects your CoolFocus login lives in one place, Manage account. To open it, select your profile picture or initials in the account menu and choose Manage account.

These settings belong to you, not your organization. They follow your login into every CoolFocus organization you belong to. Administrators can't see or change them for you.


Profile tab

Name and photo

Update the name and picture your coworkers see across CoolFocus.

Email addresses

Your primary email address is the one you sign in with and the one your organization's invitations are matched to. You can add another address and make it primary. We send a code to the new address first to confirm that it belongs to you.

If your work email is changing, add the new address and verify it before the old mailbox is shut off. Otherwise you can't receive password reset emails.

Phone numbers

A verified phone number lets you sign in with a text message code and receive MFA codes by text.

Connected accounts

Link your Google, Microsoft, or Apple account so you can sign in with one click. Select Connect account, choose the provider, and approve the request.

Security tab

Password

Change your password. Passwords are checked against known data breaches, so you can't use one that has already leaked somewhere else. Keep Sign out of all other devices checked if you're changing your password because you think someone else knows it.

Passkeys

Sign in with your fingerprint, face, or device PIN instead of a password. See Passkeys.

Two-step verification (MFA)

Add a second step after your password: an authenticator app, text message codes, or backup codes. Save your backup codes somewhere safe. They are how you get back in if you lose your phone. See Multi-factor authentication (MFA).

Active devices

See every browser and device where you're signed in, and sign out any you don't recognize. See Staying Signed In.

Delete account

Don't use this to leave an organization. Deleting your account permanently removes your login from every CoolFocus organization, and it can't be undone. If you're leaving one organization, ask its administrator to remove you instead. Your organization's records, such as notes and visits you entered, aren't affected either way.


Recommended setup (5 minutes)

  1. Confirm that your primary email address is the one your organization invited.

  2. Add a phone number.

  3. Turn on two-step verification with an authenticator app, and save your backup codes.

  4. Add a passkey on the computer you use most.

  5. Check Active devices and sign out anything you don't recognize.
