Who this is for: anyone who uses Schedule › Staff to see who is working on a day.
Who's listed
For the day and location you pick, the Staff tab lists:
staff who have hours at that location that day, and
anyone with an appointment that day.
An Unassigned row always shows, so appointments without a staff member are never hidden. People with no hours and no appointment that day are not listed.
To narrow the list, use the toolbar:
Location: pick one location, or all of them.
Search staff…: find a person by name.
Volunteer status: show volunteers with a given status (staff always show).
Grouped by position
With one location selected, people are grouped under each position, such as Client Advocate or Nurse. Each position has a coverage line with its people underneath.
People who aren't in any position appear under Not in a position.
No hours set under a name means the person has an appointment that day but no working hours.
Reading the coverage line
The coverage line compares, for each stretch of the day, how many people the position needs with how many qualified team members are working then.
2 of 2: covered.
1 short (with a warning icon): one more person is needed during that stretch.
No one: nobody qualified is working during that stretch.
1 extra: more people are working than needed.
The badge beside the position's name, such as needs 3, is the most people the position needs at once. A position that says no coverage hours only shows who is in. It is never short.
Where the number comes from
The number a position needs is set in its Coverage hours:
Go to Schedule › Positions and open the position.
Open Settings.
Find Coverage hours (optional). Each day and time range has a number of people.
A person counts toward a position only if they are in its Qualified Team Members and have working hours that cover the stretch.
How to clear "short"
There is no switch to turn the alert off. It goes away when the stretch is covered or when fewer people are needed. Any of these will do it:
Give qualified team members working hours that cover the short stretch.
If someone who is working isn't counted, add them to the position's Qualified Team Members.
Lower the number in the position's Coverage hours for that day and time.
Remove the position's coverage hours. The position then shows who is in and is never short.
Common questions
Can the Staff tab list everyone, even people who aren't working?
No. It lists people with hours or an appointment that day. To look at someone else, open their record.
Someone is listed with "No hours set". Why?
They have an appointment that day but no working hours. Add hours for them, or reassign the appointment.
The position is short, but I see enough people listed.
Check their hours. A person only counts for the stretch their hours cover, so a late start, an early finish or a break can leave part of the day short.
