These steps are for CoolFocus 5. CoolFocus 3 closes on January 31, 2027.
The open times you put on the calendar in CoolFocus 3 are still your open times in CoolFocus 5. You don't move or rebuild anything. CoolFocus 5 asks you once which of your empty appointments are open times, and clients can book them online.
Answer once
Open the Scheduler. If you have times to answer, you'll see a card: "We found 2,880 Pregnancy Test and Ultrasound times with no client. Treat them as open times?"
Click Review to see each appointment type, with next week's times so you can check them.
For each type, choose what clients are booked as, then click Yes or No.
Each type starts as booked as itself. If your team books a different type into these times, like "Scheduled Ultrasound" into "Ultrasound" times, tick that type instead.
If you use a type like "Available" for open times, choose which appointment types can be booked into it, then click Yes.
Types already marked with the Open status need no answer. To book a different type into them, click Change what’s booked under Open times at the top of Scheduler Settings (administrators only).
Types used for shifts, closed time or meetings are shown as they are. They can't be answered here.
Nothing is changed, hidden or deleted. CoolFocus 3 looks exactly as it did.
Changed your mind?
Click Change next to a type to answer again, or Undo to take the type back out of online booking. The card is also under Open times at the top of Scheduler Settings (administrators only).
What to expect in CoolFocus 3
Openings you add in CoolFocus 5 look like the ones you already make, so your team sees nothing new.
A repeating open time from CoolFocus 3 becomes a CoolFocus 5 series the first time someone changes it as a whole in CoolFocus 5 (This and following or All). CoolFocus 5 tells you before you save: "After this change, CoolFocus 3 can't change this series all at once anymore. You can still book or remove its times one by one in either version."
If someone books a time in CoolFocus 3 while another person has an old screen open, the opening can reappear next to the booking. Nobody loses the booking.
