Adding and Customizing Columns in a List

Show a field that isn't in your list yet (like Primary Email) by adding it as a column — plus reorder, remove, and how column changes are saved.

Every list in CoolFocus, Donors, Clients, Contributions, Recurring Contributions, Contacts, and the rest, shows a default set of columns. If a field you care about isn't showing (a common one is Primary Email on the Donors or Recurring Contributions list), you don't need a report or support. Add it as a column yourself.

The short version: click the Columns button above the list, search for the field, and check it. It appears in the grid right away.


Add a column that isn't showing

1. Open the list (for example Donors or Recurring Contributions).

2. Click the Columns button above the list (near Filter and Export to Excel).

3. Start typing the field name to search, for example Email.

4. Check the field (such as Primary Email) to add it. Uncheck a field to remove it from the grid.

5. Close the Columns panel. The new column is now part of the list.

If a value looks blank after you add the column, for example Primary Email shows empty even though the person has an email, that usually means the address on the record isn't marked as the primary one. Open the record and confirm which email is set as primary.


Reorder and remove columns

  • Reorder: drag a column heading left or right to the position you want.

  • Remove: either uncheck it in the Columns panel, or use the column heading's menu.

  • Sort: click a column heading to sort by it (click again to reverse). Sorting is about ordering rows, not choosing columns, see "How do I find...?" with Filters.


Your column changes are saved automatically, on named segments

While you're viewing a segment you saved (a named view like "Monthly Donors"), your column choices, which columns show, their order, and column-level sorting, are saved to that segment automatically a couple of seconds after you make them. There's no separate "save layout" step, and the layout is there next time you or a teammate opens that segment.

If a message says the layout wasn't saved

If CoolFocus can't save your column layout, you'll see a message that says "Column layout wasn't saved":

  • If it tells you the change still applies here but won't be kept after a refresh, your columns work fine for now, but reloading the page or coming back later will show the old layout. Try making the change again, and if it keeps happening, contact support.

  • If it tells you that you don't have permission to save this view, ask an administrator to check your access, saving a segment's layout requires permission to edit that segment.

Either way, you'll only see this message once per list until the save works again, so it won't keep popping up while you're still working.


Columns on the built-in "All ..." view

The built-in "All ..." view (like "All Donors") starts from CoolFocus's default columns rather than a saved layout. If you hide, show, or reorder columns on an All view, the change stays in place while you keep working, including switching to another page and back, but it does not survive a full page reload (F5) or reopening the tab.

When you change columns, sorting, or filters on an All view, CoolFocus shows a banner above the grid:

Unsaved view, save as a segment to keep these grid changes after refresh.

Click Save as segment in that banner to turn your current columns into a named segment, which then autosaves like any other segment. See Saving & Sharing Segments for the full save flow.


Related-record grids on a record's tabs

A record's detail page can show related records as their own grid on a tab, for example the Requests tab on a Client record, or the Contributions tab on a Donor record. These grids support the same column, sort, and filter controls described above, but they are not segments, so they don't follow the segment rule above.

  • Column, sort, and filter choices you make on one of these tabs are remembered for your current browser session, so they stay in place as you keep working, including if you leave the tab and come back.

  • They reset once you start a new browser session (for example, after closing and reopening your browser).

  • They are not saved to a segment and don't sync to other devices or other teammates.

  • If the same record has two different relationships into the same list (for example two separate links to Requests), each relationship remembers its own column and sort choices independently.


Example: Intentions after visit on the Client Visits list

On the Client Visits list, Intentions after visit is available through the Columns panel the same way. It shows the client's stated pregnancy intentions recorded at the end of the visit, sourced from the same field counselors set on the visit's Client Advocacy chart.

  • It is not shown by default, add it from the Columns panel using the steps above.

  • It sorts and filters like other lookup columns on the list.

  • Once added, it stays part of your saved segment (or your session, on a related-record grid) like any other column.

  • A visit with no recorded intentions shows a blank cell rather than an error.


Example: Gender column on Clients and Dependents lists

The Gender column, available on the Clients and Dependents lists, shows the value recorded on that person's demographics.

  • It is not shown by default, add it from the Columns panel using the steps above.

  • A blank cell means no gender value has been recorded on that person's demographics yet. Open the client (or dependent) record and set it there.

  • If your organization moved its client records from an older version of CoolFocus, a gender value recorded in the old system now carries over to this field automatically, so it should show in the column and on the record. If you know a client has a gender or sex value on file and the column still shows blank, refresh the page; if it's still blank, contact support so we can look at that record.


Example: End Time, Phone, and Birth Date on the Appointments list

The Scheduler's Appointments list can now show End Time, Phone, and Birth Date as columns, add them from the Columns panel using the steps above. None of these show by default.

  • End Time is the appointment's scheduled end time.

  • Phone and Birth Date come from the client attached to the appointment.

  • These three bring the appointment list to the same column set as the old "PCC Reports > Schedule" report, so if you used to run that report for a printable day sheet, you can rebuild it here and export it.


Example: Grouping the Appointments list by day

The Appointments list can be grouped, use the column heading's menu to group by Date, Center, Appointment Type, or Status. Grouping by Date collects every appointment on the same calendar day into one group with a count, the day-by-day layout the old "PCC Reports > Schedule" report printed. Exporting a grouped list to Excel keeps those same day groups.


Example: Who Accompanied column on the Visits list

The Who Accompanied column, available on the Visits list, shows who came with the client to that visit.

  • It is not shown by default, add it from the Columns panel using the steps above.

  • It sorts and filters like other lookup columns on the list.

  • Once added, it stays part of your saved segment (or your session, on a related-record grid) like any other column.


Example: Benefit Type Active on the Benefits list

The Benefit Type Active column is available on the Benefits list, add it from the Columns panel using the steps above. It is not shown by default.

  • It shows whether the benefit type recorded on that row is still active, so you can find and filter benefits that were given under a type your organization has since deactivated.

  • A blank cell means the linked benefit type record no longer exists.


If a field you need isn't in the Columns panel

The Columns panel only offers fields CoolFocus has made available as columns for that list. A field can exist on the record without being offered as a column yet. On the Ultrasound list, fields like Sent to Physician and Initial intentions are not in the column picker today, and STI results is not yet a column on the STI list either.

If a field you need isn't in the Columns panel, don't contact support for it, submit a feature request instead. Open the Help bubble, choose Feature requests, and describe the field and the list you want it on. See Tips for Getting Help with the CoolFocus Chat Bubble for the full steps.


Getting your columns into a spreadsheet

Export to Excel exports the list with the columns you currently have showing, in their current order, with your current filter and search applied. So set up your columns first, then export. See "How do I find...?" with Filters for details on exporting.
