Customize Intake Messages

The SMS/text or email introductory message that clients receive when forms and consents are sent prior to an appointment (Scheduler Settings → Intake Message)

Written by Jonathan Marbutt

Customize the introductory message clients see when your center sends forms and consents prior to an appointment. This is the message that goes with intake paperwork to your clients.

Texting fee: Sending forms and consents as text messages to clients will add a text messaging usage fee on your monthly CoolFocus invoice when CoolFocus sends or receives an actual text message. Turning a setting on alone does not bill you, but each message that goes out or comes in can. Full list: What Counts as a Text Message & What are the Text Usage Fees?.

Where to edit the intake message

Open Settings → Scheduler Settings → Intake & Documents → Intake Message.

• Page title in the app is Intake & Consent Message

• This lives under Scheduler Settings, not Care Settings (Care has Client Forms / Consent Documents, but not this message)

What you can customize

Review and edit:

• SMS/text introduction

• Email introduction

• Email subject

• Supported language translations

Confirming identity before the form opens

When a client taps the client form or consent link from a text or email, CoolFocus asks for the client's last name and date of birth first, before showing any questions.

  • The link only opens once the last name and date of birth match the client record it was sent for.

  • This protects the form if the text is forwarded or seen by someone else, since a name and phone number alone are not enough to open it.

If a client says the link won't open, confirm their last name and date of birth are correct on the client record, then resend the form.

After clients submit forms

When a client has already completed an client form or consent, staff can open the submitted responses from the appointment (before starting the visit). See Viewing submitted client forms from an appointment.
