When a client books online, CoolFocus can alert staff so that someone knows a new appointment has been scheduled.
Texting fee: Staff SMS text alerts for new online bookings (when someone turns SMS on for New Online Booking under Your notifications) will add a text messaging usage fee on your monthly CoolFocus invoice when CoolFocus sends or receives an actual text message. Turning a setting on alone does not bill you, but each message that goes out or comes in can. Full list: What Counts as a Text Message & What are the Text Usage Fees?.
New online booking notifications
At least one active staff user should subscribe to New Online Booking notifications. Choose the in-app, email, or text channels that fit your team.
Without a subscriber, appointments can still be created, but no one is actively alerted to the new booking.
What the alert includes
To protect client confidentiality, the SMS (text) and email versions of this notification do not include the client’s name (text and email are not guaranteed private). The title shows appointment type, center, and date/time, for example:
New Online Booking - Pregnancy Test at Mission Viejo on Saturday, July 11, 2026 at 2:30 PM
Open the appointment in Scheduler (or the CoolFocus mobile app) to see the client’s name and other details.
Other appointment notifications
New Online Booking is one of several Scheduler alerts. Appointment created, updated, cancelled, and rescheduled each have their own toggle under Your notifications, so a staff member can also get alerted every time an appointment is booked or changes, not just when it comes from online booking.
There is no single recipient list to edit for these alerts. Each person turns theirs on from the profile menu → Your notifications. To add a teammate who has not set this up yet, an administrator can open Settings → Security → Users, select that person, and turn the notification on from their Notifications tab.
See Choosing What You're Notified About for the full list of Scheduler events and how the admin view works.
