Extra detail for pregnancy center teams who use Location Overview (formerly Center Overview), Location Statistics (formerly Center Statistics), and the CareNet Renewal Form. Start with Center Overview & Center Statistics Reports for the basics; use this page when a specific number still looks surprising.
Check your date range and location first. Almost every mismatch starts there.
Offsite pregnancy tests
Location Overview leaves them out unless you check Include offsite tests. The checkbox also affects the at-risk carrying numbers, which look at whether the client's last test was offsite.
Location Statistics always includes them.
CareNet Renewal Form always leaves them out of the total, as Care Net requires, and shows them on a separate line.
A test counts as offsite when Test Performed Offsite is checked on the visit.
Which date counts
All three reports count a pregnancy test by the date of the visit it was recorded on. A client can be counted in Distinct Clients for your range while her pregnancy test isn't, because her test was on an earlier visit.
Positive Test section (Location Overview)
The Positive section pairs the case's Initial Assessment with "Current Intentions Now." For example, "Assessed Abortion-Vulnerable, Current Intentions Now: Miscarried" means the case was assessed abortion-vulnerable and its outcome is Miscarried. When a case has an outcome, the outcome is shown; otherwise it's the client's current intention.
At-risk clients who visited (positive test ever)
The At-Risk Clients line on Location Overview counts clients who:
had a visit in your date range, and
are on a case assessed Abortion Minded or Abortion-Vulnerable whose last pregnancy test was positive, even if that test was before your range.
Use it to answer "Whom did we serve who is pregnant and at risk?" even when the positive test was earlier.
Changed Minds
Changed Minds isn't on Location Statistics or Location Overview in CoolFocus 5. Use the Lives Saved - Changed Minds report, under Reports in the Cases group. For how it compares to At-Risk Clients Carrying, see Why Your Center Report Numbers Differ.
Current intention: blank, N/A, and N/A.
Unknown in a report means no current intention is set.
N/A means someone chose N/A.
N/A. (with a period) means the case has visits but none of them recorded an intention.
These are different answers, so they appear on separate lines.
Monthly CareNet runs vs. a full year
On the CareNet Renewal Form, lines that count Cases or visits add up month by month. Lines that count distinct clients (Unique Clients Seen, ultrasound Unique Clients, Clients Presented the Gospel, and Clients Who Trusted Christ or Rededicated) don't, because a client who comes back in a later month counts once in each run. Age can also shift, since it's calculated as of each run's Start date. Run the report for the full year rather than adding up monthly runs.
Prenatal vitamins
Location Overview counts the visits in your range that have a Resource Provided whose name starts with "Prenatal Vitamins." A visit counts once, however many bottles you gave. To use it, add Prenatal Vitamins to your Resources Provided list, then select it on each visit where vitamins were given.
The CareNet Renewal Form doesn't count prenatal vitamins.
Material assistance and visit reasons
Record material assistance as a benefit in the Benefits section of the visit. Location Overview's Program Participation section counts visits per program from those benefits. For items and dollar values, use the Material Services report.
Set up Visit Reasons (for example, Material Assistance) in your dropdown lists so visits are categorized correctly for reporting.
