Why Your Center Report Numbers Differ

Why the CareNet Renewal Form, Location Overview, Location Statistics, New Cases, and Changed Minds can show different numbers.

Written by Jonathan Marbutt

"Shouldn't the CareNet Renewal Form, Location Overview, New Cases, and Changed Minds all match?" No, and that's expected. Each report answers a slightly different question. Here's why, so you can trust your numbers instead of second-guessing them.

Location Overview and Location Statistics were called Center Overview and Center Statistics in CoolFocus 3.

CareNet counts cases; the other reports count people

The CareNet Renewal Form is correct for Care Net: its New Clients line counts each new Case. A client who opens a case in January and another in December counts as two. Location Overview counts individual people, so she counts once.

The New Cases report counts the same Cases as the CareNet New Clients line, so use New Cases to check that figure.

New and Repeat Clients on Location Overview

On Location Overview, Distinct Clients splits into New and Repeat, and the two always add up to Distinct Clients, so nobody is counted twice.

  • Repeat Clients: clients with a visit in your date range on a case that was opened before the range began, or on their second or later case.

  • New Clients: everyone else, meaning clients whose visits in the range are all on their first case, opened during the range.

So a client who comes back and opens a second case during the range counts as Repeat, even if her first case also opened during the range. Over a full year that happens more often, which is why a year of Location Overview can show fewer New Clients than the CareNet New Clients line.

Why monthly totals don't add up to the year

Any number that counts distinct clients can't be added up month by month. If Darla visits in January and again in February, a January report shows 1 client, February shows 1, and January through February still shows 1. Each report is correct; the same person just appears in each month you run.

This applies to Distinct Clients on Location Overview, Unique Clients on Location Statistics, and the distinct-client lines on the CareNet Renewal Form: Unique Clients Seen, ultrasound Unique Clients, Clients Presented the Gospel, and Clients Who Trusted Christ or Rededicated.

On the CareNet Renewal Form, lines that count Cases or visits do add up month by month, because each Case or visit falls in exactly one month. These include New Clients, marital status, ethnicity, Total Visits, pregnancy tests, and Total Ultrasounds. Age is the exception: the report calculates age as of each run's Start date, so a client can land in a different age range in a monthly run than in the annual run.

"At-Risk Clients Carrying" vs. Lives Saved - Changed Minds

These sound similar but have different requirements.

  • Total At-Risk Clients Carrying (Location Overview): distinct clients with a visit in your date range whose case was assessed Abortion Minded or Abortion-Vulnerable, whose last pregnancy test was positive, and whose current intention or outcome is life-affirming. It doesn't look at what she first said she intended. It also counts Miscarried and Ectopic Pregnancy outcomes.

  • Lives Saved - Changed Minds: cases assessed Abortion Minded or Abortion-Vulnerable where the client said Abortion or Undecided (at intake or on a visit), and her current intention is now Parent, Adoption, or Carry. The date range applies to the date her current intention was recorded, not to visits.

So Carrying is usually higher. If a client was assessed at risk but always said she was parenting, she counts as Carrying but not as a Changed Mind. The report credits the change, not the assessment alone.

Location Overview vs. Location Statistics

Location Statistics is not a short version of Location Overview in CoolFocus 5. It calculates its numbers differently.

  • Location Statistics counts every visit record, including visits not tied to a case. Location Overview counts only visits that belong to a case.

  • Location Statistics always includes offsite pregnancy tests. Location Overview leaves them out unless you check Include offsite tests.

  • Gospel Presentations on Location Statistics counts visits. Location Overview's spiritual numbers include client counts.

Babies Born appears on three reports

  • Location Overview counts babies (twins count as two) with a Baby born or Parent outcome whose birth date or outcome date is in your range.

  • Babies Born report counts the same babies but uses the birth date only.

  • CareNet Renewal Form counts Cases with a birth date in your range, one per case, whatever the outcome.

Clicking into a Location Overview number

Some Location Overview numbers open a CoolFocus 5 report when you click them. That report uses its own date rule, so its list can differ from the number you clicked. For example, the At-Risk Clients numbers open Abortion Vulnerable Clients, which lists Cases by Initiated Date rather than by visits in the range.

Quick reference

  • CareNet Renewal Form → counts new Cases as new clients.

  • Location Overview → counts people; New + Repeat = Distinct Clients.

  • New Cases → counts Cases, like the CareNet New Clients line.

  • At-Risk Clients Carrying → based on assessment; Changed Minds → based on what the client said.

  • Location Statistics → counts visit records, offsite tests included.
