Donor Reports Overview

Helpful Hints regarding a general overview of Donor reports

Advanced Search (Always CLEAR SEARCH first to clear any previous search criteria that is still being remembered by the system.)

  • Box for “Include Do Not Solicit” - CHECK if just need for stats/info purposes, and UNCHECK if running a list for solicitation or mail

  • % = use as a wildcard character for search fields to have anything entered in that field in the donor’s record (example: %@% will give you all records with an email address)

  • Enter “none” into a search field when you want a donor that does NOT have that information entered in his record

Two ways to view reports:

  • RUN - displays on screen or downloads a PDF version

  • EXPORT - downloads a spreadsheet file to be uploaded into Excel or Google Sheets

Reports most helpful to a Development Director or Executive Director:

  • Gift Totals By Donor

  • Donor 5-Year Overview

  • Inactive Former Donors

  • Multiple Gift Range By Date

  • Non-Regular Donors

  • Renewals (gave last year AND this year, or between any two date ranges)

  • Top X Single Gifts

  • Top X Donors

  • Giving Statements

  • Monthly Statement PCC (PDFs of statements)

Fund = Where gift amounts go for your Center, what account the $$ are funding

Source = What caused a donor to give (events, mailers, advertising, personal contact, etc)

You can make Funds and Sources INACTIVE as needed so that they no longer show in a drop-down menu of options.
