CareNet Renewal Form Report: How Each Number Is Calculated

How the CareNet Renewal Form report calculates each Care Net renewal question, in CoolFocus 5 and CoolFocus 3.

The CareNet Renewal Form report gives you the numbers for Care Net's annual renewal survey, listed by Care Net question number. Run it, then enter the numbers on Care Net's renewal site.

The numbers follow Care Net's counting rules, so they won't always match Location Overview, New Cases, or other reports. Use this report for Care Net, not for board or internal reporting.

Run it

CoolFocus 5

  1. Go to Reports, open the Compliance group, and select CareNet Renewal Form.

  2. Set the Start date and End date. The report opens on last calendar year; Last Year and This Year fill the dates for you. The whole end date is included.

  3. Leave Locations blank for all locations, or check one or more locations.

  4. Select Run. Use Print or Export CSV to keep a copy.

CoolFocus 3 (V3): go to Reports, open PCC Reports, and select Care Net Renewal.

Both versions run the same calculation, so for the same dates and locations you get the same numbers.

The report is for pregnancy center organizations. If it says you don't have access, ask your administrator. Users whose access is limited to certain locations or records can't run it.

Rules that apply to the whole report

  • Every number starts from visits in your date range at the locations you picked, using the visit's location.

  • Most client numbers count cases, not people. A client who opens a case in January and another in December counts twice. Questions 39, 40, 41, 61, 63, 64, 65, and 70 count each person once instead.

  • A new client (Questions 18 and 24–30, 71–76) is a case whose Initiated Date is in your date range and that has a visit in the range at your selected locations. A case opened in the range with no visit in the range isn't counted.

  • Visits that aren't attached to a case aren't counted in the case-based questions.

How each question is calculated

  • 18. How clients heard about you: new clients grouped by the client's Source. CoolFocus lists every source, not just the top three, because your sources may not match Care Net's wording. Pick your top three.

  • 23. Positive exit surveys: of visits in the range with an Overall Experience Rating, the percentage rated above 5. Blank and NA ratings are left out.

  • 24. New clients: 24 A onsite and 24 B virtual intakes, decided by Today's Visit was on the case's first visit in the range (Virtual = virtual intake). 24 C is the total.

  • 25 and 26. New clients by sex: female, male, and unknown, from the client's Sex. 26 counts the male new clients whose case is marked as the father of the baby.

  • 28. Marital status: Single (28 A) is Single, Widowed, Divorced, Engaged, and Cohabitating. Married (28 B) is Married and Separated. Everything else, including blank, is Unknown (28 C). 28 D is the total and should equal 24 C.

  • 29. Age: Care Net's own ranges: under 15, 15–19, 20–24, 25–29, and 30 and over. Age is calculated as of the report's Start date. No birth date (or an impossible one) counts as Unknown (29 F).

  • 30. Ethnicity: from the client's Race. CoolFocus places each value on the matching Care Net line for you. Asian/Pacific Islander goes on Native Hawaiian/Other Pacific Islander (30 E), values not on Care Net's list go on Other (30 G), and blank goes on Unknown (30 H).

  • 31. Client sessions: every visit in the range on a case (31 A). Virtual sessions (31 C) are visits where Today's Visit was is Virtual; the rest are onsite (31 B).

  • 32. Pregnancy tests: visits with a pregnancy test performed at your center. Tests marked Test Performed Offsite are left out. 32 D Inconclusive includes Inconclusive, Results Pending, and tests with no result recorded.

  • 34. Total ultrasounds: every ultrasound visit in the range, including repeat scans.

  • 35 and 36. Ultrasound clients: client cases with an ultrasound in the range. Scans at a location whose type is Mobile Ultrasound count as mobile (35 B); all others are onsite (35 A). 36 counts those where Father present at ultrasound is checked.

  • 39. Pregnancy decision coaching: clients with a visit in the range whose primary or secondary visit reason is Pregnancy Options/Parenting Counseling, or who received a benefit from a program linked to that Care Net program. Split by sex.

  • 40. Post-abortion support: the same rule, using the Post-Abortion help visit reason or the linked Care Net program.

  • 41. Abstinence education: the same rule, using the Abstinence Counseling visit reason or the linked Care Net program.

  • 43. STI clients: client cases with an STI test in the range, by sex. 43 B counts female STI clients whose case has a pregnancy test on record; 43 D counts male STI clients marked as the father of the baby.

  • 61. Material resources: clients with a visit in the range whose visit reason is Baby/Maternity Supplies or Material Service Only, or who received a benefit from a program linked to the Care Net material services program.

  • 63. Parenting program: clients with the Parenting Class visit reason or a benefit from the linked Care Net program. Split by sex.

  • 64. Presented the Gospel: different clients with at least one visit in the range where Gospel presented is checked.

  • 65. Trusted Christ or rededicated: different clients with at least one visit in the range whose post-visit spiritual assessment is a new profession of faith or a rededication.

  • 67 and 69. Churches: records with the role Care Net: Active Church (67), and of those, the ones that also have Care Net: Referral Church (69). These aren't limited by your dates or locations.

  • 70. Church referrals: different clients with a visit in the range that has one of these Resources Provided: Care Net: Referred to Church, Care Net: Church Referral Permission-Based, or Care Net: Church Referral Making Life Disciples (70 A). 70 B counts the permission-based ones, and 70 C the Making Life Disciples ones.

  • 71, 73, 74, 75. Decisions by initial assessment: female (or blank sex) new clients whose last pregnancy test was positive and onsite, grouped by the case's Initial Assessment: Likely to Carry (71), Abortion Minded (73), Abortion-Vulnerable (74), and not assessed (75). Carry means the current intention is Carry, Parent, or Adoption, or the outcome is a Baby born outcome, Miscarried, or Ectopic Pregnancy. Abort means the current intention or outcome is Abortion. When the case has an outcome, the outcome is used instead of the intention, except for administrative outcomes like Moved, Transferred, or No further needs.

  • 76. Relationship of the father: new clients whose last pregnancy test was positive and onsite, by the case's Father's Relationship. Blank counts as Unknown.

  • 86. Donors: donors who gave a gift (not in-kind) in your date range, by Entity Type: Individual or Family (86 A), Church (86 B), and everything else (86 C). Care Net asks only the main or admin center to answer this, and it isn't limited by location.

Questions the report doesn't answer

The form has no line for Questions 54 (chemical or surgical abortions), 62 (material item counts), or 72. Gather those another way. Questions that aren't statistics, like contact details, aren't included either.

Fixing a number

  • A new client missing from 24–30: check that the case's Initiated Date is in your range and that she has a visit in the range at the selected locations.

  • Virtual counts look wrong: check Today's Visit was on the visit.

  • A mobile ultrasound counted as onsite: check that the location's type is Mobile Ultrasound.

  • Church questions show 0: add the Care Net church roles to the church records, and the Care Net referral options to Resources Provided on visits.
