Option Ultrasound Monthly Report (Focus on the Family)

How the Option Ultrasound Monthly Report calculates each Focus on the Family question, and how to find the clients behind a number.

Focus on the Family's Option Ultrasound program asks participating centers for a monthly report. CoolFocus produces the numbers; you transfer them to the Option Ultrasound website. If you don't know how to access that website, contact Focus on the Family.

The numbers follow Focus on the Family's requirements, so they won't always match Location Overview, Pregnancy Test Result Details, Ultrasound Results Details, or other reports. Questions that aren't statistical, like contact information, aren't included.

Run it

CoolFocus 5

  1. Go to Reports, open the Compliance group, and select Option Ultrasound Monthly Report.

  2. Set the Start date and End date. The report opens on last month.

  3. Choose All Locations or one location.

  4. Run the report, then Print or Export CSV.

CoolFocus 3 (V3): go to Reports, open PCC Reports, and select Option Ultrasound. Set the dates and, if you want, a center.

Both versions use the same calculation, so for the same month and location you get the same numbers.

How each question is calculated

"At risk" below means the case's Initial Assessment is Abortion Minded or Abortion-Vulnerable. "Positive test" means the case's last pregnancy test result is Positive.

  • 6. Total individual clients: different clients with a visit in the month, whatever the service or visit reason.

  • 7. Clients who received a pregnancy test: clients with at least one visit in the month with a pregnancy test. A client with two cases tested in the month counts once per case.

  • 8. Breakdown of last pregnancy test: for each case, the result of its most recent pregnancy test in the month: Positive, Negative, or Inconclusive. Inconclusive here includes Inconclusive, Results Pending, and tests with no result.

  • 9. Positive-test clients assessed Likely to Carry: cases assessed Likely to Carry, with a positive test and a pregnancy test visit in the month.

  • 10. At-risk positive-test clients who received an ultrasound: at-risk cases with a positive test, a pregnancy test visit in the month, and an ultrasound visit in the month.

  • 11. Deferred ultrasounds: at-risk cases with a positive test and an ultrasound in the month, but no pregnancy test visit in the month (the test was in an earlier month, so the ultrasound was "deferred").

  • 12. Breakdown of at-risk ultrasounds: at-risk cases with a positive test, using each case's latest ultrasound in the month. The pregnancy test can be from any date. Each scan lands in exactly one result:

    • Viable Pregnancy: Fetal heartbeat observed is checked for Baby 1, 2, or 3.

    • Abnormal Results Noted or Ectopic Pregnancy: no heartbeat checked, and Ectopic precautions given is checked.

    • Inconclusive Results: everything else, meaning neither box is checked.

  • 13. Changed intention after a viable ultrasound: at-risk cases with a positive test and a pregnancy test in the month, whose ultrasound in the month has Fetal heartbeat observed checked, a pre-ultrasound intention of Abortion or Undecided, and a post-ultrasound intention of Carry, Adoption, or Parent. A client who was already Carry before the ultrasound isn't counted, even if she was assessed at risk.

Cases assessed Abortion Determined aren't counted as at risk on this report.

Two different "Inconclusive" lines

Question 8 and question 12 both have an Inconclusive line, and they count different things:

  • Question 8 Inconclusive is about the pregnancy test result. It should match Pregnancy Test Result Details when you filter that report to Inconclusive or Results Pending for the same month.

  • Question 12 Inconclusive is about the ultrasound. It never appears on Pregnancy Test Result Details, because the pregnancy test itself was usually Positive.

So if question 12 shows an Inconclusive result but Pregnancy Test Result Details shows none, nothing is wrong with the pregnancy tests. Look at the ultrasound instead.

Find the clients behind a number

CoolFocus 5: click any number on the report to see the clients or visits it counts, then open a record to check it. Use Back to report to return with your dates and location kept.

CoolFocus 3 (V3): the Option Ultrasound report doesn't drill down. For question 12, run Ultrasound Results Details for the same month and look at the at-risk clients (Initial Assessment Abortion Minded or Abortion Vulnerable) with a Positive last test:

  • Fetal Heart Rate Observed checked: Viable.

  • Not checked, with Ectopic Precautions Given checked: Abnormal or Ectopic.

  • Neither checked: Inconclusive.

If a client has more than one ultrasound in the month, only the latest one counts.

Fixing a number

Most surprises on question 12 come from the ultrasound checkboxes. Open the visit's ultrasound and check:

  • If a heartbeat was seen, check Fetal heartbeat observed (CoolFocus 3: Fetal Heart Rate Observed). Entering a heart rate number alone isn't enough; the box must be checked.

  • If the scan showed a possible ectopic or abnormal result and precautions were given, check Ectopic precautions given (CoolFocus 3: Ectopic Precautions Given).

  • If neither applies, such as an early scan where no heartbeat could be seen yet, Inconclusive is the correct result.

Then run the report again. If a client isn't counted as at risk when you expect them to be, check the case's Initial Assessment and the last pregnancy test result.
