Information on setting up Scheduler to be used with a National Call Center (OptionLine - Options United - Infinite Worth)

Click the “settings” button and the Scheduler settings page appears.  The first page is the “Centers” page.

Centers

Click the +ADD button to add additional office locations, or the EDIT button to change “Main Center” to be more descriptive.  If you plan to use a National Call Center or Infinite Worth to schedule appointments, you must complete all information on each tab on the left (General, Weekly Schedule, Call Centers, Call Center Time Slots).  If you are not working with a National Call Center or Infinite Worth, fill out basic information on the General tab and click the SAVE button.

General tab

If you are using a National Call Center or Infinite Worth, ALL INFORMATION IS REQUIRED.

The "Helpline Phone" field can be either your Helpline Phone number if you have one, or the number of the National Call Center you are using.

The "Days & Hours Of Operation" field is a general description of when your center is open.

The "Services" field describes the services your center offers.  Entries like US, PT, etc. are acceptable.

Weekly Schedule tab

Enter the hours this location is open each day.

Call Centers tab

If you are using a National Call Center or Infinite Worth, select the Call Center Name in the list of Available Call Centers and Click the "+Register" button.  Now click the Save button in the upper right. This will initiate the registration process.

After you have clicked the +Register and Save buttons, contact the National Call Center or Infinite Worth to express your desire to use their services. They will contact you if they have additional questions or requirements.

ONLY proceed to Call Center Time Slots tab AFTER you have received confirmation that you are registered.

Call Center Time Slots tab

This is a general template of available times for the National Call Center or Infinite Worth to make appointments.

Do NOT delete/change these time slots unless you no longer want to make this time slot available.  If you will be closed for holiday, vacation, weather days, etc. you will communicate this information on the Holiday Schedules tab.

Add a time slot for EACH APPOINTMENT SLOT you want to make available.

Just remember: any time slot you make available may be filled by them overnight.

Do NOT create a Time slot for 7:00 am - 2:00 pm (see the example for Monday below) unless you want to have a SINGLE 7-hour appointment (unlikely).  Each 30 minute, 1 hour, etc. time slot you create will be available to be scheduled. Once it is filled for that day, it is no longer available for scheduling.

The National Call Center and Infinite Worth will NOT schedule appointments during times you have not made available to them even though you are open during those hours.

The National Call Center and Infinite Worth only sees the time slots you make available so if you do not provide a time slot for a specific time, they will not be able to schedule appointments during that time.

Holiday Schedules tab

If you are closing your center for holiday, vacation, weather days, etc. and need to let the National Call Center or Infinite Worth know your change in available appointments time slots, this is done through the Holiday Schedules tab.

Do NOT make these changes on the Call Center Time Slots tab.

Click the +Add button.  Enter the Description of the holiday (example - Thanksgiving). Enter the Start Date - this MUST be the Monday of the holiday week.  Now select the hours you are open or closed for each day of that specific week.
