Openings on Your Calendar

An opening is an open time on your calendar that a client can book. Add, book into, change and remove openings.

Written by Jonathan Marbutt

These steps are for CoolFocus 5.

An opening is an open time on your calendar. Put one where you have room to see someone, and it stays there until a client takes it. Clients who book online pick from your openings, so this is how you decide what they can book.

If you used CoolFocus 3, you already know this. An opening is the empty appointment you used to put on the calendar. Booking is the same too: put a client into it.

What you'll see

  • Dotted and faded means open. Solid means a client is booked.

  • Each opening shows its appointment type, and the room or person it belongs to.

  • Openings at the same time stack in Week and Month, like 9am · 3 open. Click the stack to see each one.

  • Openings that have already passed are hidden.

Add an opening

  1. Click Create and choose the Opening tab. (Clicking an empty time on the calendar fills in the time for you.)

  2. Choose the appointment type, the location, and the room or person if you use them.

  3. Set Clients per opening. Three means three openings at that time, so three clients can book it.

  4. To repeat it, choose how often. Add an Until date, or leave Until empty to keep it going. CoolFocus writes openings six months ahead.

  5. Click the button at the bottom. It says how many you're adding, like Add 12 openings.

Book a client into an opening

  1. Click the opening.

  2. Click Book a client. The new appointment opens with the type, place, time and room already filled in.

  3. Choose the client and save.

The opening is used up when a client takes it, whether you booked her or she booked online. If the appointment is cancelled and the time hasn't passed, the opening comes back.

Change or remove one

Click the opening. You'll see Book a client, Edit, Add another opening and Delete.

  • Add another opening puts one more at the same time, so one more client can book it.

  • Edit opens the same form you used to add it.

  • You can also drag an opening to a new time, drag its edge to make it longer or shorter, or hold Alt (Option on a Mac) while you drop it to make a copy.

  • If an opening repeats, CoolFocus asks This one, This and following or All. See Change a Repeating Opening.

Work with several at once

Drag across the Day view to select openings. A bar shows Selected openings with Duplicate and Delete. Delete has a 60-second Undo.

To remove a whole day, see Clear a Day of Openings.

Good to know

  • Nothing else limits an opening. Not the appointment type, not a number of "at once", not rooms or staff. If you put it there and the location is open, clients can book it.

  • Staff aren't limited to openings. You can book a client at any time inside your hours. See Why Can't I Book This?.
