Set Up Your Scheduler

Four short steps: your hours, your appointment types, your openings, and you're done.

Written by Jonathan Marbutt

These steps are for CoolFocus 5.

Setting up takes four short steps: your hours, your appointment types, your openings, and you're done. Clients can book as soon as there is an opening.

1. Set your location's hours

Hours live on the location, and they are the only availability setting.

  1. Go to Settings → Scheduler → Locations and open the location.

  2. Click the Hours tab, then Set hours.

  3. Add closed dates and special hours under Closed dates and special hours.

2. Set your appointment types

Go to Settings → Scheduler → Appointment Types and open a type. It has three tabs:

  • Basics: name, client-facing name, color, description, length, and whether it's active.

  • Online: Online booking on or off, Minimum notice (hours), How far ahead (days), Clients can reschedule, and Partner integrations.

  • After booking: forms and consents, reminders, visit defaults and assessments.

The appointment type is about the client: how long, online or not, and what happens after. It doesn't hold hours or a number of "at once".

3. Add openings for online booking

Clients who book online can only pick an opening. Click Create, choose Opening, pick the type, location and time, and repeat it every week if you like. Two openings at 9:00 means two clients can book 9:00. See Openings on Your Calendar.

If your team books everyone by phone, you can skip this. Staff can book any time inside your hours.

4. You're done

Open your booking page and try a time. If one won't book, click it on the Scheduler and CoolFocus tells you why. See Why Can't I Book This?.

Optional

  • Rooms & equipment and Positions are for your team's view of who and what is in use. They don't limit when clients can book.

  • Reminders, Announcements and Calendar Feeds are also under Settings → Scheduler.

  • Several stops or sites? See Mobile Stops and Location Groups.
